## Summary

A NetSuite VoIP integration connects business calling with customer records and activities. Contivio combines business phone service and contact-center tools with a NetSuite SuiteApp, supporting screen pops, click-to-dial, automatic call logging, NetSuite-based routing and configured AI summaries.

Explore the [Contivio NetSuite SuiteApp listing](https://www.suiteapp.com/Contivio-Enterprise-Contact-Center-Software-for-Net-Suite) for product information and customer reviews.

This guide walks through the calling workflows the integration supports. For a product introduction, see [the Contivio NetSuite SuiteApp overview](https://go.contivio.com/blog/learn-more-about-the-suiteapp-contivio-for-netsuite).

## What does a NetSuite VoIP integration do?

A NetSuite VoIP integration has two parts. The phone service carries the calls: numbers, extensions, queues and call routing. The integration connects those calls to NetSuite so that users can see who is calling, place calls from records and keep a record of each conversation.

With Contivio, Contivio provides the communications platform and NetSuite holds the business records. Customers, contacts, cases, transactions and the configured interaction activities stay in NetSuite. The SuiteApp links the two, and implementation settings decide which records are searched, where activities are written and which users see what. The [Contivio for NetSuite](https://www.contivio.com/netsuite/) page gives a full product overview.

## Business calling and contact-center tools on one platform

Office employees and customer-facing agents can use different licenses on the same platform. Not every employee needs a full contact-center license.

### Office calling

Extensions, voicemail and transfers for employees who make and take business calls.

### Contact-center teams

Queues, skills-based routing, IVR, supervisor tools and outbound campaigns for sales, service and collections.

Because both groups share one platform, a queue call can be transferred to an office employee without changing systems. NetSuite features are configured for each role and license. See the [NetSuite phone system](https://www.contivio.com/netsuite-phone-system/) page for details.

## What happens when a customer calls?

1. The incoming number is matched against configured NetSuite records.
2. The appropriate record opens for the agent.
3. The agent handles the conversation with customer context available.
4. The interaction is linked and logged according to the account configuration.
5. Recording links and configured AI outputs can be associated with the activity.

Not every call matches one record. Unknown callers and numbers that match several records need configured handling, such as opening a search or new-record form, or asking the agent to select the correct record. These rules are agreed during implementation. See [NetSuite screen pops](https://www.contivio.com/netsuite-screen-pops/) for more on matching.

## Click-to-dial from NetSuite

Users can call a phone number on a supported NetSuite record without copying it into another application. The call is placed through Contivio, the record stays open and the call can be logged to that record like an inbound call.

Click-to-dial places one call at a time, chosen by the user. Campaign dialing works through a list of records and places calls for the agent, as described in the [outbound dialing](https://go.contivio.com/blog/netsuite-voip-integration-contivio?hs_amp=true#nscc-outbound) section. See [NetSuite click-to-dial](https://www.contivio.com/netsuite-click-to-dial/) for details.

## Automatic call logging and AI summaries

When a call ends, Contivio can create the configured activity on the matching NetSuite record with details such as direction, duration, agent, disposition and notes. Calls can include a recording link, so authorized users can play the recording from NetSuite according to their permissions. See [automatic call logging for NetSuite](https://www.contivio.com/netsuite-automatic-call-logging/).

AI features are enabled per account. When enabled, the relevant activity can include:

- Voice transcription
- AI summaries
- Sentiment and keywords
- Suggested follow-up information

Administrators choose which outputs are written to NetSuite and which roles can see them. SMS and chat conversations can also be logged, so they contribute to the same customer interaction history.

For configured payment workflows, Contivio can automatically pause voice recording while payment details are collected and resume it afterward.

**Automatic call logging and AI summary.** A completed voice call logged to NetSuite with an AI-generated summary.

## Route calls using NetSuite context

Contivio can use approved NetSuite fields when deciding where a call goes. These are configured routing examples, set up to match each team's process:

- **Account owner.** A call from a customer with an assigned sales rep goes to that rep first.
- **Customer tier.** Callers from priority accounts go to a dedicated queue.
- **Case information.** A caller with an open case goes to the support queue.
- **Fallback.** If the preferred person is unavailable, the call moves to the configured queue.

## Outbound dialing from NetSuite saved searches

Contivio can launch outbound campaigns using NetSuite saved searches. A sales manager might choose a search of customers who ordered last year but not this year. A collections lead might choose a search of invoices past their due date. Contivio loads the results into a configured outbound campaign.

- **Preview**The agent sees the record before the call is placed and decides when to dial.
- **Power**The next call is placed automatically when the agent is ready, one call per agent.
- **Predictive**Multiple numbers are dialed in parallel and answered calls are connected to available agents.

As each call connects, the agent sees the related NetSuite record. Call attempts and outcomes, such as a disposition or a promise to pay, are logged to the appropriate records according to the campaign configuration. Teams set dialing modes, calling hours and list rules to fit their own policies and applicable regulations.

## Extend calling with SMS, chat and AI agents

The same platform handles SMS and website chat, and Contivio AI agents can handle approved workflows using the NetSuite data they are permitted to read. When a request falls outside the workflow, the AI agent hands the conversation to a person along with the transcript and customer record.

Illustrative workflow

### An order-status inquiry

A customer asks the website chat where their order is. The AI agent collects the required customer verification details and order number, then retrieves the permitted order-status information from NetSuite. When the customer asks to change the delivery address, the AI agent transfers the chat to a service rep with the conversation attached.

**AI chatbot to human handoff.** An AI chat agent looks up a NetSuite sales order and order status, then hands the chat to a person.

## What needs configuring?

Contivio guides implementation alongside the customer's NetSuite administrator. A typical project covers:

1. SuiteApp installation in the NetSuite account.
2. Authentication and the integration role.
3. Permissions for recordings, AI outputs and logged activities.
4. Record matching rules, including unknown and multiple matches.
5. Logging destinations for calls, SMS and chat.
6. Routing rules that use NetSuite fields.
7. User mapping between NetSuite employees and Contivio users.
8. Testing with real call scenarios before go-live.

Timing depends on the number of users, queues and custom NetSuite workflows involved. Custom records and scripts are reviewed during discovery. The [NetSuite implementation guide](https://www.contivio.com/netsuite-implementation-guide/) covers each stage, and the [NetSuite contact center evaluation guide](https://go.contivio.com/blog/how-to-evaluate-netsuite-contact-center) lists questions to ask any provider.
